What information do I need to enrol workers using SFTP?

Once you’ve set up secure file transfer protocol (SFTP), you can enrol workers using file transfer. If you’re not sure if you’ve set up SFTP, you can find more information in our 'How to set up and use secure file transfer protocol (SFTP) (PDF)' guide.

You can also enrol workers by uploading a file through your online account or doing it one at a time on our website. These options may suit your organisation if you have limited IT resources or only a few workers to enrol. If you’ve registered and are using SFTP, you can still use one of the other options as well. You can use it along with SFTP or instead of it.

We only recommend using SFTP if you have technical specialists to support you who can set up and look after the file transfer systems for you.

You’ll need to make sure you know which workers you need to enrol and which enrolment type to use. For more information on this, visit 'Who do I need to enrol?'.

Before you enrol your workers, it’s a legal requirement to let them know you’re doing this. If you’d like to know more about what you need to tell them, visit 'What should I tell my workers about using Nest?'.

It’s your responsibility to provide us with the worker’s correct details. You can still make changes after you’ve enrolled them, but only for certain details. Then, once a member sets up their online account, you won’t be able to change most of their details.

The table below shows some examples of how you and the member can be affected if the information isn’t correct.

Mr when it should be Mrs

If you enrol a worker with an incorrect title and gender, they may need to provide evidence to show the correct information before the system can update their details.

First name, Middle name, Last name

Mis-spelt names, or the first name and surname are the wrong way round

When we get in touch with a worker, it will include incorrect information about them.

And when they want to take money out of their pension pot, they’ll need to provide evidence of their identity. If their name doesn’t match the evidence they give us, they’ll have to fix the mistake before they can access their money.

Date of birth

Incorrect date, incorrect month, incorrect year

When a worker sets up their online account, they need to provide their date of birth and Nest ID. If the date of birth they’ve entered doesn’t match the one in our records, they won’t be able to finish setting up.

It will also affect if they can opt out online or through our automated telephone service.

An incorrect year can also mean we place the member in the wrong Retirement Date Fund.

Worker’s National Insurance (NI) number

 

An incorrect or missing NI number may mean a worker misses out on tax relief if they qualify for it. If you don’t provide the correct NI number, you’ll need to re-enter the correct one. 

If a worker doesn’t have their NI number available, it’s your legal responsibility to give it to us within one month of them providing it to you.

If you enrol a worker with incorrect details, you’ll need to let them know what’s happened, as it could impact them. For example, if you give us the worker’s incorrect address, we may send their welcome letter to the wrong place.
