Web services make nannies’ pensions child’s play for NannyPaye

At Nest, we wanted to know how our web services are making a difference to employers. So we asked John Hale, our senior account manager to speak to Shelly Newton who works as payroll manager at NannyPaye. This is a company that helps people who employ nannies and domestic staff set up pensions for their workers. We were delighted to find that she thinks it’s a great improvement which can save her time, and saves money for her clients. Find out what she has to say below.

Q: You’ve already got many hundreds of employers on the Nest system so you’re probably an experienced user of it. How have you found it so far?

A: We use Qtac as our payroll software. And, yes it’s been interesting. To start with we were originally just working on the Nest website, opening an account through Nest. Predominately, my client base is just families that employ nannies and people in their home and basically they just didn’t have the time to go through the whole procedure. We were walking them through it step by step.

It’s easy to do but it’s more that the client didn’t want to have the involvement in it. But now with Qtac, we can basically just push a button and it sets up the Nest account for them. It goes straight through. We’ve not had any data problems at all and I’ve checked everything very rigorously.

Now the client just has to accept the terms and conditions and put their bank details in. So the process is very quick.

And, it’s going to get better soon. At the moment I do one client at a time and because I do it through Qtac, all of the information I need to set it up is already there so I just click a button, it goes straight through and the account is set up. But soon I’ll be able to select everybody that I want to set up in one go and just press a button and do it in the background which will save me a lot of time.

Q: So we covered the set-up, presumably you’ve got to do that hundreds of times now going forwards. Are you fairly comfortable with that?

A: Yes. At the moment I’ve got several hundred but I have several thousand more still to go through in quite a short time scale of a couple of years. But yes, I'm pretty comfortable the software is going to work. There’ve been no blips. It’s been very smooth.

Q: In terms of the day-to-day management of the things — once you’ve got it set up it’s there. But then you’ve got new worker to put on and contributions to pay. How are you finding that with the software?

A: To start with we were logging into the Nest website and typing in all of the details off of the pay slip, then sending it through for payment. It’s fine if you’re just doing one, but with the numbers I was doing, it was taking quite a bit of time. But with web services, I just go into the individual account, click a button, select which month or week I want to submit and it goes through. It’s going to get better again soon and I’m looking forward to it. This will mean I can just select all of the clients in the section and send them. And while they’re doing that, I can be doing something completely different.  

Q: What do you think the benefits of web services are to your organisation and to your clients?  

A: Time. Saving time more than anything. The time that it takes to do it when it’s automated is so quick compared to when we were doing it individually. I just couldn’t pass the savings onto our client before. We based our fees on the knowledge that web services were going to be happening and so we charge our clients a very low fee. And that keeps our clients happy. Also, at the end of the day, pensions is a painful process for a parent employing a nanny and the fact that it costs them a very small amount of money to get it done has meant no one’s really kicked up a fuss about it. They’ve all been really happy with the process. Because they just don’t need to know about it.

JH: So a win, win really. You’ve gained out of it and they have as well which is excellent.
